WHAT ABOUT ACTIONS NOT COMPLETED?

At the beginning of a meeting, hold a review of the minutes of the previous meeting. Go through each action in turn, thanking those responsible for completing on time. Be assertive; don't let renegades get away with it! Ask questions of the type:

• 'What has prevented you from completing this action?'
• 'What special measures did you take to try to recover the lost time?'
• 'How will you prevent the delays in completing this action from upsetting the rest of the programme?'

Don't give a new reference number to actions, which are carried over. Include them, together with their original target dates, in the minutes of the next meeting. That way it soon becomes clear who repeatedly lets the team down. Group pressure may pull the delinquents back into line; if it does not, then warn them-privately, not in front of the whole group-that you will have to speak with their managers and get them replaced by someone who is more committed to the aims of the meeting. Remember that if the meeting fails to achieve its purpose, the chairperson must take responsibility. So the chairperson must stamp his or her authority on the meeting. This is particularly important in the following up of the actions.
