PREPARING TO GIVE FEEDBACK

Your feedback is more likely to be effective if you prepare for it before you give it.

CHECKLIST

1 - decide whether to give feedback to the team or team members separately:-
• does it concern an individual or a number of people?
• do you want to use peer group pressure to change the behaviour of individuals or the team?
• is it about overall performance of your area of responsibility


2 - choose an appropriate time and place, avoid interruptions
• if the feedback is negative, will support be needed?
• is location private, avoid embarrassing the recipient?
• have you allowed enough time?

3 - make your purpose clear
• what do you want to happen?
• what is realistic?
• is it a behavioural change?
• what support will you offer?
• how will you measure success?

4 - prepare by gathering facts & specific examples
• is it a specific incident, or general performance?
• do the examples illustrate the point you wish to make?

5 - ask others, discreetly, if appropriate
• does their information support yours?
• do others know enough about the person to comment?
• do they have examples?

6 - form your own balanced view beforehand, trying not to pre-judge, or let prejudices get in the way
• do the facts support your judgement?
• have you heard the other person's view?
